In order to succeed, one must be able to get and stay organized during their work day. From tossing junk to systematizing work documents, here are a few tips to take you from scatterbrain to organizational maven.
1. Become a Passion Planner
Never miss a meeting or work function again! Properly categorize everything on your to-do list and never-ending schedule in a functional planner. I also like to utilize different colors to decipher between work and personal activities. Blue Sky’s Day Designer is the perfect place to effectively organize all of this in style!
2. Create a Tidy Work-space
An OfficeMax study revealed that 90% of Americans believe clutter has a negative impact on their lives and work. Also, 77% said clutter impairs their productivity with most executives wasting six weeks a year rummaging for lost items and information. Keep those desks clean and clutter free to maximize efficiency.
3. File Folders (For the Win!)
Unfortunately, I don’t have a drawer to store away important documents. Instead, I have a file folder sorter that I’ve categorized by specific clients. This allows easy access while keeping papers in shipshape fashion. Plus, it’s an orderly, endearing addition to my desk!
4. Keep Only What’s Needed At Arm’s Length
Toss those coffee cups and distance the unnecessary pens and supplies. Keep only what you need nearby including your monitor, keyboard, telephone, a few pens and a notebook.
5. Delete those emails!
If I’m not constantly on top of my emails I find it hard to keep track of what’s important and irrelevant. Make sure you’re deleting unnecessary messages when you see it to keep your inbox chaos-free. For the important emails, digitally file them away in your inbox to make sure nothing gets lost.
6. Keep a Basket/Drawer For Storage
Create a catch-all, neat container for items that you don’t anticipate living on your desk for long. This can include light snacks, maybe a daily newspaper or magazine, a pair of flip flops, etc. This keeps these things from getting in the way of your work time.
7. Streamline your desktop
Don’t clutter your computer screen with tons of meaningless files. Instead, generate a logical digital filing system and diminish your desktop icons to a few that matter most.
8. Toss the junk!
Do you REALLY need that trinket you collected at the last trade show? Probably not. Eliminate the junk and keep only necessary items on your desk. This will keep you from losing things and keep everything neat and in its place.
9. Deadlines and Time Management
The ability to meet deadlines and use your time wisely is important to staying on task. Manage your time properly, assign tasks and allocate resources to complete projects on time. Meeting deadlines consistently will allow you to prioritize tasks, delegate and in turn be more productive and well-organized.
10. Be Realistic
Stay organized by setting realistic goals in regards to what you can control and things you need to let go of. Establishing reasonable objectives for accomplishing tasks and staying organized will allow you to stay on track while still ultimately achieving success.
When your time, mind, work-space and projects are organized, becoming productive will be easy-peasy! Applying these simple tips and tricks will help you become an organizational and productivity guru in your workplace.
